Bookings
- Your own booking page
- A link you put on newsletters and posters. Parents browse what is on without signing in, and only register when they book.
- Whole blocks or single sessions
- Sell a week of holiday club at a week price, or Tuesday on its own. The same programme can do both.
- Capacity that holds
- Places are reserved the moment they go in a basket and released if checkout is abandoned, so a session cannot be oversold.
- Options and extras
- Packed lunches, trips, early drop-off. Chosen per child per day, and shown on the register.
- Waiting lists
- When a session is full, parents can ask to be told if a place frees up.
- Your cancellation policy, applied
- Set the notice period once. Parents see what applies to their booking before they cancel, not after.
Registers and safeguarding
- Built for a phone at the door
- Tap to sign in and out, with counts at the top of the screen and targets big enough to hit one-handed.
- Allergies and medical notes visible
- On the child in the list, never behind a tap.
- Who collected, and who recorded it
- Every sign-in and sign-out is attributed to the staff member who made it.
- One continuous stay
- A child booked into breakfast and after-school on the same day signs in once, not twice.
- Printable registers
- A PDF for the day or a single session, when you need it on paper.
- Works when your card does not
- If a subscription lapses the register keeps working. Losing track of children on site is not an acceptable consequence of a billing problem.
Money
- Paid directly to you
- Bank transfer, Tax-Free Childcare, childcare vouchers, cash or cheque. Your income never passes through ClubDock.
- What is owed, per family
- Paid, pending and overdue in one view, rather than reconciled from a bank statement.
- Reminders you do not have to write
- Send a payment reminder without composing it each time.
- Credit notes and refunds
- Cancel a booking and account for it properly, including partial credit.
- Xero and QuickBooks
- Invoices and payments sync to your accounts, so your bookkeeper is not re-keying them.
Parents and children
- Parents keep their own details current
- Contact numbers, emergency contacts, consents and collectors — updated by the people who actually know when they change.
- Your registration form, your questions
- Ask what your club needs to know, and require it before a first booking.
- Your terms, accepted and recorded
- Publish your terms and conditions; parents accept them, and re-accept when you publish a new version.
- No passwords
- Parents and staff sign in with a code sent to their email, or a passkey. Nothing to reset at 07:50.
Running the club
